A multinational company of the gambling sector has drastically optimized the creation, control and distribution processes of its documents with DocPath‘s Output Management software.
The casino and gambling industry worldwide has undergone drastic changes over the last decade. In fact, one of the industry´s cornerstones – the online gaming sector – has reached very impressive growth figures over the past years, as mobile gaming via smartphones or tablets allows today´s gamblers to try their luck at an online casino at any moment and place. It is hardly surprising, therefore, that legal regulations in the gambling and gaming industry are increasingly restrictive and detailed.
As a consequence, gambling industry organizations need to be able to frequently modify the different models of their technical documentation, in order to comply with the latest requirements set forth by the corresponding regulatory authorities.
Business Document Challenges in the Gambling Industry
In view of those new requirements, a leading manufacturer of technological solutions for the gambling industry (e.g. bingo, casino, online gaming, etc.), with headquarters in Spain, was looking for a modern and comprehensive Business Document Output Management software solution that could be easily integrated with the company’s document management system. They had two main goals. One was to complement their new ERP system – Microsoft Dynamics NAV (Navision) – with an advanced business document software solution to optimize and streamline the creation, modification and distribution processes of their massive amount of business documents. The second objective was to be able to use the same Document Output Management solution to optimize other essential business processes, such as billing and production, where the wide variety in documents and labels require highly efficient and flexible management and printing processes.
An Advanced and Totally Integrated Business Document Solution
The implemented document software solution is DocPath WebDocs Generation, a comprehensive business document solution for on demand and real time document processing and generation in Web environments. Moreover, WebDocs Generation seamlessly integrates with the main ERP systems in the market via specific connectors (Java, .NET, Web Services, etc.), as do all document software solutions.
During the project, DocPath´s solution was implemented with DocPath´s HPCWS module, a Web Service, which allows the client´s ERP Microsoft Dynamics NAV (Navision) system to integrate with DocPath´s document software. Through this integration, the core business processes of the client (i.e. business flows managed by the ERP system) are separated from document presentation (i.e. document formats and distribution). This means that the ERP Microsoft Dynamics NAV system still manages and controls the main business flows, but the time needed to apply changes to documents is drastically reduced and the standard options and possibilities provided by the ERP are expanded. As a consequence, DocPath‘s business document software could be easily used for optimizing different business processes, including the generation of technical documentation, billing, production and product distribution.
With regard to the generation of technical documentation, this was one of the critical parts of the project, as the regulatory authorities of the gambling industry frequently request modified document models, meaning that the company needed to be able to rapidly apply changes to their business documents. As DocPath‘s document software separates document formatting and presentation from core processes and applications, any changes in the design or content of the client’s technical documentation are applied in a matter of seconds or minutes. The same benefits of DocPath‘s business document software have been applied to the client’s delivery note and invoice generation processes.
On the other hand, the client´s production process involves a large amount of ZPL labels of different sizes and models, which are used for the different product parts. An adequate software solution was needed to rapidly and efficiently generate all those different models. With DocPath‘s modular document software, the client now natively prints their labels in ZPL format and the distribution of the corresponding print files to the printer has significantly been optimized. In other words, the client´s ERP Navision system is now able to easily and efficiently generate ZPL labels using the same DocPath software as for generating the client´s technical documentation and other document types.
Satisfying Microsoft Dynamics NAV integration Project Results
The multinational gambling-industry organization is very satisfied with the implementation of DocPath´s business document software, as it runs fully integrated with Microsoft Dynamics NAV (Navision), their ERP system. The quick and easy integration of DocPath technology did not affect the stability and robustness of the DocPath WebDocs Generation Solution – features to which the company gave great importance.
In addition, while Navision provides options to natively generate and distribute documents, DocPath´s flexibility and wide range of document design options and distribution channels turned out to be key factors in drastically reducing the time required for generating each business document, whether a label, an invoice or a standard documents.
Throughout the project, DocPath‘s business document software has proven to be a scalable and versatile solution that maximizes added value as it can be easily applied to a wide range of business processes and it operates as an ideal complement with seamless integration to the client´s ERP Microsoft Dynamics NAV system. In fact, the highly positive results of the project have encouraged the client to look for other application possibilities of DocPath´s Output Management software in a near future.
