The insurer needed a flexible tool for document management, creation and generation, in order to rapidly and easily apply the required form design changes.

A few years ago, an important multinational insurance company needed to drastically improve its business documents with more complete and clearer forms, with the main objective of enhancing its customer service. The company turned to Quality Work, one of DocPath´s Business Partners in Latin America, and opted for two DocPath Solutions to optimize their document management processes and reduce related costs.

Data-based challenges in the insurance industry

Policies, contracts, accident reports, certificates, claims, requests and authorizations are just a little handful of the enormous amount of data and documents that insurance companies manage on a daily basis. In fact, the insurance industry is one of the most paper-intensive sectors of all.

As a result of being an intrinsic part of a data-based industry, a lot of insurance companies find that efficient and optimized management of their data and documents generally solves a lot of their business challenges. This is the case of a multinational insurance organization that has been offering a wide variety of insurance solutions since the nineteenth century. This insurer provides a broad range of insurance products for individuals and corporate accounts, such as vehicle insurance, home insurance, insurance of goods, protection policies for the agricultural and transport sectors and for more technical branches, as well as credit lines. The company is currently one of the leading insurance groups in the world, with more that 60,000 employees in around170 countries and regions.

The goal: optimized document management solutions and services

The insurance company´s main objective is to offer its customers high-quality services and solutions, backed by the wide experience and in-depth knowledge of their experts. For this reason, in 2005, the organization´s subsidiary in Argentina decided that they needed to drastically optimize their internal document management and generation system, as their current system seemed too costly and too rigid to enable the company to provide optimal services.

The Argentinian subsidiary wanted to improve the quality of its forms (policies, invoices, certificates, etc.) with a flexible tool for document management, creation and generation, in order to be able to send its clients more attractive, complete and clearer forms and, in consequence, better meet the specific needs and requests of these clients.

In addition, the insurer also wanted to change the main platform used for its document processes from System i (AS400) to Windows servers, in order to reduce the costs of maintaining these processes on System i servers.

DocPath Document Management Solutions

DocPath Business Suite Pro for Windows was the company’s solution of choice after looking at several of the options. The features of this potent solution allowed the insurer to process different types of input data and sources to generate a wide variety of output data formats, among other options. The joint efforts of the company´s subsidiary in Argentina, DocPath and Quality Work have resulted in more than 120 newly designed, high-quality business forms. Currently, the branch offices are mainly using XML and Tag Mode input formats to print PCL forms and generate documents in PDF format, which are distributed via email or fax or stored in FileNet. Business Suite Pro was combined with DocPath´s WebDocs Generation solution, which integrated with a new internal application developed in .NET.

Quality Work played an important part throughout the entire process. As such, DocPath´s business partner ensured a smooth transition from the old system to DocPath technology by thoroughly examining their client´s data processing and distribution needs. They also performed a preliminary study of the feasibility of the project and Quality Work experts guided the company throughout the commissioning process of the project.

Swift document design and distribution

The multinational insurer started to use DocPath Solutions for Windows platforms in 2005, at their subsidiary in Argentina. Currently, the new software allows these offices to rapidly and easily update the designs of their business forms and correctly use different versions of the same forms. Moreover, with DocPath´s technology, document distribution across the entire office network has become much more efficient and rapid, whether it is by email or fax, printing or across a Web environment. As a result, the company has greatly optimized business resources, reduced related costs and, most importantly, has greatly improved customer service.

The initial project for the implementation of DocPath document solutions was a resounding success. For this reason, since 2005, the insurance group has been implementing DocPath software in other Latin American countries, such as Brazil, Venezuela and Mexico, and in 2015, it will be the turn of the company´s subsidiary in Colombia.
